This article is only relevant for databases where Next ID has been activated – indicated by a banner in your Next Project.
General:
When One login is activated on a Next Project database, all users will need to go through a registration process to create their new Next ID. The Next ID is a global account that the user owns themselves (not the company).
All users will be logged out. Any unsaved data will be lost. When the user logs in (with their current credentials), they will be redirected into the One login registration, starting with an introduction view explaining that it’s time to create a Next ID. An administrator can also invite users, provided that there is an email address linked to the user and that the user has access to this email for verification. This way, the registration flow can be initiated for a user.

At the time of activation, not all users need to have their own email address registered in the user directory, but it makes things easier. They will need to provide a personal email address, and the one already stored in the user directory will be suggested as the default. If none is available, a different email address can be entered during the registration flow.
New users who are added after activation has been completed will be created in the same way as before by the administrator in the respective Next Project database. However, they will never again be able/required to set a password themselves. Once the user is created, an invitation email is automatically sent to the user’s specified email address, which will be mandatory for an active user. The invitation can be resent if a user has not received the email. This is done using the button “Invite user.”
Invitation of a new user is shown in Image 2–3, then Image 5 if the user does not already have a Next ID, and so on.
Activation

When One login is activated on a Next database, all users will automatically be logged out. When they try to log in again with their regular password, they will be given two options:
Register now
Postpone for 24 hours (this can only be done once).
If the user chooses to register now (Activate now), the process will take just a few steps, see Image 4 (already has Next ID) or 5 (new Next ID) and onwards.
New User

After activation has been completed for a database, all new users who are added will automatically receive an activation email sent to the email address provided for them. Email will therefore be mandatory when creating new users. You can also choose to “Send invitation” if, for some reason, the email was not automatically sent.

Image 4 – Start registration with existing Next ID
Users who exist in more than one Next Project database must complete the registration process for each database, but with fewer steps if a Next ID already exists.
If the user already has a Next ID with the same registered email address, they will be prompted to use the existing Next ID.
Image 5 – Confirm chosen email address
New users will have the option to confirm the suggested email address (from the user directory) or enter a completely new one. The important thing is that the user has access to the email address for verification later in the process.

The user must accept the privacy policy. At this stage, they also see the few steps left to complete the process.
Image 8 – Create profile
The user verifies their name and preferred language for “Your profile.” The language is suggested based on the language set for the user in the Next Project database from which activation was initiated.

The user sets their own chosen password. The requirements are shown in the image below.
Image 10 – Notification that verification is required
The user is informed that a verification email has been sent to the specified address.
Image 11 – Verify via link in received email
The user verifies their account through the link sent to the specified email address.

The user is informed that activation is complete.
Image 13 – First login after account creation
The user is redirected to the login page to sign in with their new Next ID for the first time.
Image 14 – Select company
(This step will eventually be removed if the user only has one company linked to their Next ID.)
The user selects a company (Next Project database) and can then start working.

From “Settings,” the user can see info about Next Project, their profile, and change their password. They can also log out from here.
Image 16 – Switch to another Next Project company
If a user has access to several Next Project databases (companies) with their Next ID, a button with dots will appear in the left corner. This button allows them to open the other companies. They will open in a new browser tab, but no additional login is required—the user remains logged in.
