New option on the homepage to create a new “resource plan.” In the resource plan, all resource bookings made against activities in all schedules within the company are compiled. It is also possible to make resource bookings completely independent of the schedules in this view.
It is possible to create an unlimited number of resource plans if you want different planning for different groups/departments or any other desired arrangement.
Setup in the Resource Plan
Add Resource
Click on My Resources
Then select “Add Resource”:
Fill in the mandatory fields and enter the information we want about our resources:
Source:
Here we choose where we want to save the resource. If we save the resource at the company level, others in the company will be able to use the resource for planning. If the resource is saved to the user, only my user will be able to plan with the resource.
Group:
Group is used to group different resources together.
Color
Determines the color that planning entries will have in the scheduler.
Capacity:
Number of hours the resource works by default during a workday. Used to monitor the workload of the resources.
Title:
Here you can set a title for the resource. This has no direct function today.
Schedule Settings
Here you determine the layout of your schedule. Choose which resources you want to see in the schedule:
The result will be this:
How to Work?
Option 1. Assign resources as usual on activity in Gantt
Do resource planning just like before in the Gantt chart. All bookings are collected and presented in the new resource planning. A new feature is on the way to smoothly plan resources across many activities simultaneously.
Option 2. Resource on activity from the schedule
Plan resources on activities in schedules. Double-click in the schedule grid → a new pop-up dialog appears:
First, we get the option to book an “event.” These are bookings without connection to schedules, where we can name the booking as we want, set how many hours the booking will take per day, and also set the dates between which the booking will occur. We can also choose the color of the booking and add a comment. It is also possible to add more resources to the booking if you want to book several at the same time.
Moving on to the “Activity” tab, we have the option to book activities from schedules onto the resource, but from the resource schedule. Just the same way as if we had done it from the Gantt chart.
In the dropdown selector, we first choose which schedule we want to look at, then which activity we want to book the resource on. The workload (hours the resource is expected to work per day) is inherited from the activity in the schedule. Here too, it is possible to select more resources to book simultaneously.
If we want to copy bookings afterwards, it is possible to Ctrl + Shift click on an activity and then drag it to the resource that should also have the booking. If you drag the copy to a group, the booking is copied to the entire group, see Gif:
If we want an overview of how much each resource is booked during a period, we can get a summary of that under this tab:
Zoom Levels
Zoom in or out among predefined zoom levels with plus and minus:
Or set a custom zoom level by clicking on the date range and selecting start and end dates in the date picker:
