This article describes how to add and manage users in Next Project when One Login is enabled. You will learn how to create and activate users, manage email invitations, and monitor the status of users' Next ID connections.
This article describes how to manage users in Next Project when you have One Login enabled. With One Login and Next ID, you only need one login, even if you use multiple Next products.
Adding users
To add a new user, you need access to Administration. Click Administration and then click the Add button to create a new user.
The user list in Administration — note the button to add a new user.
A dialog box will open where you confirm the registration of a new license. Select Active if you want to activate the user immediately, or Inactive if you want to create the user without activating them right now.
The User dialog — note the license cost when selecting active status.
Then fill in information about the new user. All fields marked in red are required — this includes email. Fill in as much information as you wish, and choose whether you want to use the upper or lower view:
The Users page shows required fields marked with a red border.
Primary group = specifies which permissions the user receives in Next Project/Mobile
Job title = the default role the user receives when submitting time reports in Next Mobile
Activate and deactivate users
To deactivate a user, click Administration, select the user in question, and uncheck the Active checkbox:
The user list in Administration — note the Active status field in the user data.
In the user registry, only active users are displayed by default. If you want to see inactive users, check Show inactive users. From here, you can also reactivate a user by checking Active:
The Users page shows the 'Show inactive users' checkbox and the 'Active' field in the user data.
When you save an active user, an invitation is sent to the user's email address with instructions on how to either create a new Next ID or link their Next Project user to an existing one.
You can monitor the status of the invitation in the Next ID status field:
- Inactive — Invitation has not been sent
- Pending — Invitation has been sent but the user has not yet linked their Next ID to Next Project
- Active — The user has linked their Next ID to Next Project
Invite a user again
If the user did not receive the invitation by email, an administrator can send a new invitation by clicking the Send invitation button.
The user list in Administration — note the 'Send invitation' button to invite users.
Set or change password
You can change your password in the One Login Dashboard. Read more about how to manage your Next ID in the article We are now launching Next ID and One Login.
