This article describes how to import data from Excel files into Next Project.
NOTE: Nuvo imports must be enabled on your installation to access this import tool.
In almost all modules, you can import data from a file into Next Project. This applies to basic data registers such as types, chart of accounts etc. but also projects, users and suppliers.
Start the import
When you choose to import data from a module, the window below appears:
At the top left you can see the steps that you will go through during the import. The first one is to upload the file
Here you either just drag-n-drop your file or you select "Upload file" and choose there which file you want to use.
Select worksheet
If you have several sheets in your file, the next step is to choose which of the sheets you want to use in your import. Select that worksheet and select continue.
Select column headings
The next step is to choose which row in the data describes your column headings. Select the row that contains the headers that reflect the column's content, in this case row number 9.
This step makes it possible to have other information at the top of your file, such as sample data or other information and still be able to import the interesting data.
Match columns against Next Project
Now it's time to match the columns in your file against columns in Next Project. Select for each column in your file which column in Next Project it corresponds to.
In many cases, the system makes suggestions right away, but if there is no suggestion, you just choose yourself from the list.
NOTE: The columns must match 1 to 1, i.e. if your file has First Name and Last Name in two different columns, you will not be able to match this against Next Project's columns that contain both first and last name.
At the bottom left, you see which columns are mandatory in the particular import you are currently performing. Make sure all columns have a green tick, i.e. are matched. In this example, you must also find columns in your file that match against 'Full name', and 'Professional Role' before you can continue.
Match values against Next Project
In the same step that you match columns, you can also match values in your file against values found in the base registers in Next Project.
Tip: You also have the option to do this in later steps, but it is convenient to do this directly here
For each value in your file, you have the option to enter a corresponding value in Next Project. In the example below, you can define that the value User in column Gr* shall be matched towards e.g. 1RT admins RÖR EJ.
NOTE: If the value you wish to match against is not in the drop-down list, you must first enter it in Next Project.
When you are done with your match of the value, click 'Confirm'
Preview the final result
Before you create the information in Next Project, you have the opportunity to preview it and also correct if there is something missing in order to be created.
In the example below we didn't enter all values for 'Professional Role' so we need to select those values in this step. This is shown by those fields turning red.
If you have a large import, you can choose to click in 'Show all rows with errors'. Then you only see the rows that you need to fix. You can also select 'Download Excel' and then you can download an Excel file where you can add the necessary information and then import that file again.
When you no longer have any errors, click 'Complete import'.
Complete the import
When you complete the import, the data is sent to Next Project and you receive a confirmation of how it went.
In some cases there may things prohibiting data from being created, e.g. data inconsistency, that can only be detected when the system tries to create it, and then you receive an error message about this.
You will then have the opportunity to download a file with a description of what the problem is. In this case, the users were already posted and the system does not allow duplicates.
