Documents related to procurement can be viewed at three levels. Note that at all levels, you can have both actual documents and links to documents, such as in your own SharePoint solution.
When adding documents at lower levels, as described below, the document is automatically linked to the correct procurement item or supplier. However, you can also make this connection manually by selecting Procurement and Supplier on each document.
Note: You can specify a document type for each document. To narrow down the documents and document types in the entire project, the document types available within Procurement only those associated with the Procurement module under Admin Settings Types Document Types.
Top Level
On the top-level tab, all documents related to procurement are listed.
For Next Docs users: From this level, you can only use general document tags for autofill.
You can also get a grouped view by clicking the button to the far right of the title row.
Document per Procurement Item
If you select a procurement item, you will see in the lower box the documents related to that specific procurement. If you choose to add a document in this tab, the document is automatically linked to that procurement item.
For NEXT Docs users: From this level, you can use both general document tags and tags for the specific procurement item.
Document per Supplier
You can also list documents relevant to a supplier.
For NEXT Docs users: From this level, you can also use tags for the specific supplier. If you choose to add a document in this tab, the document is automatically linked to both the supplier and the procurement item.
Document Tags
You can set up custom document tags for various documents in the Procurement module. The values of the document tags are project-specific and are set via the "Document Tags" button in the toolbar on the document tabs.
The project-specific values of the document tags are set on the "Custom tags" tab, and these tags can then be used in various documents in procurement. Using "Autofill Documents," the tags are replaced with the project-specific values in documents where they are used.
