Prerequisites for Retrieving Salary File
To retrieve a salary file from Next Project, the feature must be enabled in your database, and you must have the authorisation to manage salary files.
Salary data will only be retrieved for users who have an employment number registered in the user registry and for times that are recorded against a role or work order with an associated time code. For attendance, this is managed under "Hourly Rates," and for absence, it's under the respective work order in the absence project.
It's also required that the time entries are approved for the period.
Selection Options
Timestamp for the Last Retrieved Salary File
When retrieving a salary file, there's an option to update the 'Salary File Retrieved' field found under 'Individual Hours' or 'Attest Hours and Travel.' The field is intended to provide support for checking when the last retrieval for a specific person was done. This can be useful for those who work with selections during salary file extraction, such as managing a broken salary period. You can decide whether to use this function when the salary file is retrieved by checking or unchecking "Update date for Salary File Retrieved."
Filtering by Group, Employment Form, and Employment Agreement
Filters for Group and employment form are available on all tabs in 'Booked Hours.'
For databases connected to Agresso, it will also be possible to filter by employment agreement.
Filtering at the Row Level
You can apply filters in 'Project Hours' or 'Attest Hours and Travel' by clicking on the filter symbol. This is done to filter out a specific user or the timestamp of the last retrieved salary file.
Period Filter
In 'Individual Hours' and 'Attest Hours and Travel', you can set a period filter by choosing the From and To date.
The period can be selected in three different ways:

Fill in the desired dates in the fields for "From date" and "To date."

Click on the calendar next to "From date" and choose the desired date.

"To date" will automatically be set to the last day of the month but can be overwritten. Click on the calendar next to "To date" to choose a different date.

Note that the maximum length for the period filter interval is 1 month. Dates outside the interval will be grayed out/non-selectable.

Navigate forward or backward using the arrows. When using the arrows to navigate forward or backward in the calendar, Next Project will always start from the date set in "From date."

If you have chosen 2021-02-01 – 2021-02-28 and click the right arrow, the new period will be 2021-03-01 – 2021-03-31.

If you have chosen 2021-03-29 – 2021-04-25 and click the right arrow, the new period will be 2021-04-01 – 2021-04-30.

If you have chosen 2021-03-29 – 2021-04-25 and click the left arrow, the new period will be 2021-02-01 – 2021-02-28.

Display of the Month in Individual Hours and Attest Hours and Travel
Immediately following the reported time in 'Individual Hours' and 'Attest Hours and Travel,' the current month is displayed. If you have a period filter that spans multiple months, you will easily see where the month breakpoint is.
The "Get Salary File" Dialog
From and to dates are automatically set to the same date as specified in the period filter. If a different period is desired, it can be corrected directly in the dialog.
For salary files retrieved from the 'Individual Hours' or 'Attest Hours and Travel' tabs, there's an option under "Selection for Salary File" to choose between:

Get all posts for selected period: retrieves all time entries recorded for the period for users with an employment number. This includes entries hidden by any filters.

Get according to filter for selected period: retrieves only the entries that fit within the current selection and the current period.
In 'Project Hours,' it will only be possible to retrieve all time entries for the period under "Selection for Salary File." This is to avoid the risk of missing time recorded on projects not shown in the current view.
The choice of "Update Salary file date" determines whether the date and time of the salary file retrieval should be saved. This can be useful if, for example, you are extracting a test file and do not want to save the retrieval timestamp. Note that you may need to activate the "Salary File Date" column under "Show/Hide Columns" in 'Hours person' or 'Attest Hours and Travel.'
Please note that only the date and time are saved. Therefore, it will not be possible to view the content of the retrieved file.
Show Inactive Users
Under 'Attest Hours and Travel,' it's possible to show time entries for inactive users by checking "Show inactive users." The inactive users will be listed alongside active users in alphabetical order and will have an asterisk (*) prefix to indicate their inactive status.
