This article explains the file check-out process in the system, including how to lock files for exclusive editing and recognize check-out status indicators. It also covers how to check files back in, both with and without changes, and how administrators can view files checked out by other users.
Checking out files
When you need to edit a file, you can download it and check it out. Checking out a file locks it so no one else can overwrite it until you check it back in.
- Select the files you want to check out. See Select files for guidance.
- Click Selected files.
- Click Check out.
Selected files view showing available actions menu, with 'Checka ut' highlighted.
- Click Check out to confirm.
Check Out page; note the 'Checka ut' button locks the file for others.
- Once checked out, files are marked with a padlock icon. A yellow padlock means you have the file checked out. A red padlock means someone else has it checked out.
Folder contents view in DOX; note the lock icon on a file indicating restricted access.
Check in files with changes
If you've made changes to a file, upload it with the same file name to the same folder and it will be checked in automatically. See Upload files for more details.
Check in files without changes
If you want to check a file back in without making any changes, follow these steps:
- Click Checked out files.
Arkitekt folder contents showing files available for download or upload.
- Click Mine to see files you've checked out, or Others to see files checked out by other users (note: this requires administrator access).
- Select the files you want to check in.
- Click Check in without changes.
