New Features
Projects and Project Overview
- The checkbox for Accurator on the Project Settings tab was visible but could not be edited by users without special permissions. The entire Accurator section is now hidden for users who lack the permission.
- When you set a project to a completed status from the project card, you were asked for an end date, but not when doing the same from the project overview. This could result in a missing end date, which in turn affected period filtering and integrations. The same question—and the corresponding question about removing the end date when a project is reopened—are now also shown in the project overview.
- Some customers experienced long response times in the project overview. Underlying queries related to payment plans have been identified as the cause and optimized.
Booked cost/rev
- The Share voucher dialog in Bokf costs/rev lacked the ability to enter text in the Note column on the rows, so you had to save the sharing and then go into the project(s) for the new rows to add the text. Additionally, text on the original row was not transferred to the new row. The column is now included and editable directly in the dialog.
Procurment
- Procurement-Suppliers: The Show All checkbox was reset on every visit, so you had to check it again to see all queried suppliers. The setting is now saved per user between visits. At release, it remains unchecked by default.
Invoice
- In the Invoice, Procurement, and Deviation modules, only the project number was shown when activating Show underlying data. This forced those of you with many small projects to open each project to see which it was. A column for the project name has been added. It is displayed when Show underlying data is enabled, is always visible, can be filtered, and is included in Excel exports—just like for work orders and change orders (VO).
- Invoices created with work orders or VO from several different projects by having Show underlying data active only had the option to pull in new costs from the projects the invoice was created in. Now, lines from all underlying projects shown in revenue accounting are offered. The selection dialog shows project numbers so you can distinguish work orders/VO with the same number from each other.
- When invoicing from work orders, VO, or from the invoice module, you can now select the setting "Show previously invoiced" in the create invoice dialog. This setting adds a line to the invoice basis showing the total previously invoiced amount; the information is retrieved from posted revenues at the time of invoice creation. The option does not apply to manual invoices and final invoices. The line is not recalculated if the basis is edited afterward.
- Invoicing ongoing VO with only a total sum previously required manual work. When you now create the invoice in the VO module, you can choose to sum all billable costs—order lines, posted costs, and posted hours—into a single invoice line. One line per VO is created if an invoice is made for multiple VO. The account for the line is retrieved from a setting in your database, VariationOrder.Invoice.AccountNo; contact support if you want help changing the account. By default, the account is set to 4 at the August 24 release. For those of you with accounting rules in revenue accounting based on different cost accounts, e.g., splitting labor and materials on different revenue accounts, only one account will be shown in the basis to the financial system. This can be manually adjusted in the 'Revenue Accounting' tab using the 'Split line' function.
Forecast
- Negative amounts in the columns with the header Remaining could be easy to miss. This could lead to forecasts, follow-ups, and profit reconciliations being based on too low figures. Negative amounts are now visually marked both in the forecast and in Reconciliation so you can quickly see where action is needed. A tooltip is shown with information on why the cell has a different color: "The account or combination with activity and/or location is overdrawn. An adjustment
may be necessary."
Administration
- Checking Manually staffed for a permission group without actually staffing anyone caused users to see no projects at all. Information is now shown when you check the box, along with an explanatory help text on the column header, describing that group members must be manually staffed on projects to gain access.
- Markup templates could not be deactivated or hidden, resulting in very long selection lists and risk of choosing the wrong template. Administrators can now mark templates as inactive so they disappear from selection lists for new projects and VO, and can reactivate them if needed. Existing projects with an inactive template are not affected, but when copying or creating projects from a template, the Markup template field will be empty.
Reports
- The PDF file with the VO specification previously always had the name "VO" only, without indicating which VO it belonged to. The file name now includes the VO number, both when the file is saved in the system, downloaded from the preview, and attached in emails.
- The PDF report in Project-Contact List now includes the organization number.
- In the forecast report, the revenue section could break awkwardly across pages because it followed directly after costs. You can now check an option in the left panel in the report module, "Page break before revenues," to force a page break before the revenues.
Mobile
- When the list for work orders and VO in the mobile app was filtered by status, only a time was shown without indicating which day the job was scheduled for. The date is now displayed on each row.
Fixes
Booked hours
- A day could be marked green in the Approve time and travel tab even if there was still an unapproved time entry on that day. The error occurred when the total time for the day exceeded eight hours. This is now fixed; a day where any time entry is not approved will be red.
- Filtering by "equals" for a specified date did not work in the approval date column in Bokf hours. Filtering now works as expected.
Procurement
- After reloading Next, the list of work orders in Procurement was empty and only filled after switching projects. The list now fills immediately.
- When you copied a procurement within the same project, the copy was created but the list did not update, so the new procurement only appeared after a manual reload. The list now updates automatically when copying within the project..
Invoice
- When switching between invoices in the invoice module, the list in Revenue Accounting-Invoice Lines could incorrectly appear empty even though there were lines. The lines now display immediately.
- It was possible to lock an invoice even when fields set as mandatory were empty. This happened when an invoice was selected in the list and you checked Locked on another invoice than the selected one. The check now occurs on the correct invoice.
- Dimensions in revenue accounting set to inactive in Administration were correctly hidden in invoice lines and revenue accounting but could still be selected in the Split line dialog. If a value was entered there, the invoice line disappeared from revenue accounting until the value was removed. Inactive dimensions are now no longer selectable in Split line.
- In Invoice-Tax Reduction-Basis for tax reduction, the Work Type column could show an internal ID instead of the readable name. The name now always displays correctly.
- When you changed the work type on a material line on an invoice, the field for work time was automatically updated, which should not happen for material lines. This is now fixed.
- Revenue accounting - In Split line in invoice, the default account was incorrectly saved instead of the account you selected. The account you manually select is now retained.
- Administration-Finance-Tax Reduction: It was only possible to mark one Work Type as Default overall, which meant that setting a default under, for example, RUT reset the default previously set for ROT. Now you can set a default work type per tax reduction type.
Reports
- Items, posted hours, and costs reported in VO were missing in the final summary in the daily report in Bokf hours. The summary now also includes what has been reported in VO.
- The VO specification and daily report excluded only costs included in an actual invoice, not costs manually marked as invoiced. Therefore, already handled entries continued to appear. Now manually marked costs, times, and order lines are also excluded.
Other
- The date in the name of the journal document folders was written without separators and was hard to read. The date now follows the date format applicable to the system language.
- In the lower view of the forecast, not all types of filtering on activity or location worked. Filtering on activity and location now works as expected.
- When toggling Show underlying data on a top project, the list in resource follow-up did not update, so rows for subprojects appeared or disappeared only after a manual refresh. The list now updates automatically.
- Since API users were hidden in the databases, no name was shown in the Created by and Modified columns if something was created or modified by the API user. The name is now displayed correctly even if the API user itself is otherwise hidden.
- If activity or location was set as mandatory fields, those fields disappeared completely and only reappeared when the setting was removed. The columns can now be set as mandatory without disappearing.
- If the database contained a project number with ten digits or more, manual project creation and copying projects from the project tree failed with a message that the highest project number was reached. The limit has now been raised to match the supported project number length.
- In Bokf costs and revenues, the Split voucher function could create an unexpected duplicate if mandatory fields were not filled. The Save button is now disabled until the mandatory fields are completed.
Mobile
- In the mobile app, pasting did not work when clicking in an empty search field, for example when searching in a price list—it only worked after typing something. You can now paste directly into an empty search field.
- In the mobile app, status names in the status filter were not translated, causing them to be displayed in the wrong language. Status names are now shown in the correct language.
- For those of you with more than about 600 matching work orders, an incomplete work order list was shown in the mobile app because the number of retrieved records was limited. The list now loads page by page and shows all work orders.
