This article explains how to link framework agreements to customers, projects, or work orders in the system. You'll learn where the settings are located at each level and the priority order that applies when framework agreements are set at multiple levels simultaneously. The article also explains what happens when you modify an existing framework agreement and how it affects order lines, projects, and work orders.

Framework Agreements at the Customer Level

If you have an agreement with one or more customers that should apply to all projects you run with them, you can assign the framework agreement directly to the customer in the customer registry. You'll find this setting either in the Framework Agreement column in the customer list, or within the customer record under the Advanced tab.

You can only select one framework agreement per customer, but multiple customers can be linked to the same framework agreement.

Framework Agreements at the Project Level

If your framework agreement applies only to a specific project, enter it in the Project Information section under Key Metrics and Billing. Multiple projects can share the same framework agreement.

Framework Agreements at the Work Order Level

You can also assign framework agreements at the work order level. This means that within the same project, you can have multiple work orders with different framework agreements.

When an order line is reported, you can see which price list or framework agreement the price was retrieved from.

Logic When Different Framework Agreements are Set at Different Levels

When Creating a New Project or Work Order

• When you create a new project with a customer that has a framework agreement, the project and the Base Commitment work order will automatically receive the customer's framework agreement.
• When you create a new work order, the logic follows this order: 1. Customer's framework agreement, 2. Project's framework agreement.
  • If a framework agreement is set on both the project and the customer, the work order will receive the customer's framework agreement.
    Example: a new work order on a project with Framework Agreement 1 and a customer with Framework Agreement 2 will receive Framework Agreement 2.
  • If a framework agreement is set on the project but not on the customer, the work order will receive the project's framework agreement.
  • If no framework agreement exists on the project but the customer has one assigned, the work order will receive the customer's framework agreement.
  • You can also manually change the framework agreement on a work order, both during creation and afterwards. Manual selection always overrides customer and project framework agreements.

What Happens If I Change the Framework Agreement on a Project, Work Order, or Customer?

• When you change the framework agreement on a project, you'll be asked whether you also want to update the Base Commitment's framework agreement, and whether you want to update prices on affected order lines in the Base Commitment. Note that updating the project's framework agreement does not affect other work orders — these must be changed manually.
• When you update the framework agreement on the Base Commitment work order, you'll be asked two questions:
  • Do you want to update prices on affected order lines?
    If yes, all order lines that have already been reported on the work order but not yet invoiced will be updated with new prices. Note that reported hours will not be changed to the new framework agreement's price.
  • You've changed the Base Commitment; do you want to update the project information?
    If yes, the project's framework agreement will match the Base Commitment's framework agreement.
• If you update the framework agreement for a customer in the customer registry, the new framework agreement will apply only to new projects and work orders with that customer. Previously created projects and work orders must be updated manually.
