Document Tags
To retrieve information from Next Project into your document, something called document Tags is used. These are predefined in the system, but you can also create custom tags for your purposes.
The predefined tags can be found under Documents for each respective function. The image below illustrates how it looks in the Procurement module.
If you click on Document Tags, a window with all the tags available for use from the Procurement module will appear. The list contains both general tags for the entire NEXT Project and those specific to your project. The tags are listed on the left, and their values are on the right.
Since we haven't selected any procurement item, no tags related to a specific procurement are listed here, but they will appear.
If you instead go into a procurement item and choose the Documents sub-tab for that procurement, you will see tags with information about that specific procurement. These document tags can then be used when setting up documents for that procurement.
The above example applies to the Procurement module, but the same principle applies to, for example, Supplier. When you select a Supplier, you can use information specific to that Supplier in your document tags.
Document Tags in Documents
Note: Document tags can only be used in Word documents.
If you want to use information from Next Project inside your document, you should insert the document tags you desire into the document. You can type them in, starting and ending with two curly brackets, #{{document tag}}, or you can right-click in the list mentioned above and choose to copy from there to ensure correctness.
Below is an example of a document with document tags.
To insert the information into the document, you use the Autofill function.
Autofill Function
In every module and tab that handles documents, there is the Autofill Document button.
Select the documents you want to fill and click on Autofill Document.
A window will now appear, listing the documents you just selected.
You now have the option to:

Validate - Test run to see if any tag is not working correctly. This does not change anything in the document.

Generate - Replace the document tags with values from the system.
In the lower part, any errors detected during validation or generation are listed, as well as whether any document tag has changed since the last time the file was generated. The file is saved as a new version in Next Project.
In this case, both validation and generation went well, and you also have the option to download the file directly if you wish.
This is how the file looks after running the Autofill function.
Custom document tags
You can create your own Custom document tags that can be used in the same way as predefined.
These are setup under Settings --> Document tags
The tags are connected to a module to avoid creating several document tags in different places in the system with the same name. In the upper part of the window, you select which module you want to add a custom tag for, and in the lower part you create the tag and give it a name and a description.
The values of the custom document tags are project specific and are set using the button "Document tags" in the tool bar of the different document tabs. By using the function "Autofill document", the tags are then replaced by project specific values as specified, in the documents where they are used.
