This article describes how to check out a file from Next Project for editing.
Note: This functionality requires that you are a Next Docs user. You also need to have the Next Docs app installed for this feature to work.
With Next Docs, you can check out a file to edit it and simultaneously lock it so that no one else can make changes to it at the same time.
Select the document you want to modify and click on the Check Out icon.
When you click there, the file is checked out and locked by the system, preventing others from checking it out.
When you check out a file, the Next Docs app opens, and you receive a notification of what has happened, such as the image below.
If your Windows has a default program associated with that file type, the file also opens automatically.
In the app, you now have several options:
-
Open: Open the file with the default program for that file type.
-
Open with: Open the file but choose the program you want to open it with.
-
Check In: Check in the file again and upload the updated version to Next Project. Do this when you have finished the update and saved all your changes.
-
Update and Continue Working: Upload the latest saved version on your computer to Next Project but keep the file checked out. By doing this, other users in Next Project can see your changes, but they still cannot make changes to the file because you have it checked out.
-
Remove Local Copy: Cancel the check-in and remove the file from your computer. Do this when you have accidentally checked out a file or changed your mind. Note that if you have made changes, not all of them will be uploaded to Next Project.
An important note here
-
If you choose to check in a file, the latest saved file on your computer will be uploaded to Next Project and then deleted from your computer.
-
If you still have the file open, possibly with unsaved changes, the file will still be uploaded as the latest saved file, excluding your recent changes. If you happen to do this, you will receive the following error message.
-
This occurs because you still have the file open.
-
In this case, save the file somewhere else, and then manually upload the file as a new version. If you save your changes, close the file, and then click "Try Again," the file will be removed. If you encounter this, the file can be restored from the Recycle Bin in Windows.
-
After checking in the file again, it is available in Next Project as a new version, and after this, another user can check out the file and edit it.
Note: Use the Next Docs app to open files that you have checked out and want to modify. The files are temporarily saved on your local computer, but to ensure that your changes are correctly saved in Next Project, we recommend not opening files from File Explorer but from the app.
