This article explains how to create and manage user groups and permissions within the Administration module of Next Project. It covers how to create permission groups, add or remove users, assign module and admin permissions, and understand how users inherit combined permissions from multiple groups. Additionally, it describes how groups can function as work pools in Work Orders and provides guidance on structuring work pool groups separately from permission groups.
Users
In the Administration module, you can modify users and their permissions. Under the Users sub-tab within Users/Permissions, you can activate and deactivate users. This is directly linked to the number of licenses being used.
Groups/Permissions
The Groups/Permissions sub-tab is where you manage permissions at the group level. Every user belongs to a group in the Administration tab. At the group level, you can control:

Which modules the group can access in Next Project and Next Mobile

Whether the group has access to the administration of basic data
Groups can also be used to assign work orders to multiple people, acting as a work pool.
Create a Permission Group
Under Groups/Permissions, click +, give the group a name, and then save.

Add or Remove Users in a Group
Select the group, then check the Selected box (1) next to the names of the people you want to add under Group Members (2). Save when you're done — those individuals are now members of the group.
To remove someone from a group, simply uncheck the Selected box next to their name.

Assign Permissions to a Group
You can set permissions for each group using the MODULE PERMISSIONS and ADMIN PERMISSIONS boxes.
Select All Permissions / Deselect All Permissions
Check the permissions the group should have (1), then save.

A person can belong to multiple groups at the same time and will have the combined permissions of all those groups. You can see which groups a person belongs to by going to Administration > Users > User Data. You can also set a user's groups directly from this view.

Work Pool in Work Orders
The same groups found in Administration > Group can be selected as a work pool in Work Orders using the dropdown list in the Work Pool column on the Work Order.

Not every group needs to be assigned permissions, but individuals who belong to one or more work pools must be part of a group that does have permissions.
Here's an example to illustrate how this works:
The User group has the right to use Next Mobile and can manage projects, work orders, documents, meal allowances, hours, and customers. All employees are part of this group.
The Sanitation group includes a selection of employees. When work orders are assigned to the Sanitation group, its members receive those work orders on their mobile devices. This group doesn't have its own specific permissions — its members inherit them from the User group.
Recommendation When Using Work Pool Groups Separate from Permission Groups
If your work pool groups and permission groups are different, here's the recommended approach:

Create your permission groups first and assign permissions following the instructions in this article.

In the Users tab, select the correct group for each person.

Create your work pool groups and add members to them. You don't need to assign any permissions to these groups.
