This article describes how to adjust the number of user licenses ahead of a new contract period in Next. You will learn how to update the license count, interpret current license utilization, and how to activate time-limited user licenses for, for example, seasonal staff.

Before each new contract period in Next, you need to update the number of user licenses that will apply for the upcoming period. You will receive a notification in Next when it is time to review the licenses — well in advance before the new contract period takes effect.

Here is how to adjust the licenses:

1. Go to Administration
2. Click the Users and Permissions tab
3. Click the Manage Licenses tab
4. The page is divided into three sections where you can view your current licenses, purchase additional licenses, and adjust the number of licenses for the upcoming contract period.

Current License Utilization

In this view you get an overview of your current licenses and how they are being used:

The overview panel displays license type, contract dates, and license usage.

The utilization rate shows how many of the licenses are in use. In the example above, 18 out of 23 mobile licenses are in use and 20 out of 21 client licenses (full license).

Adjust License Count

To adjust the number of licenses for the upcoming period, you manage this in the bottom section of the window:

The Next Contract Period section — note the last change date before saving.

Here you enter the new number of licenses that will apply for the upcoming period. Fill in the number in the Next Period field and then save.

Time-Limited User Licenses for Mobile Users

There is an option to have temporary user licenses, for example for seasonal staff. The license applies to mobile users and the minimum contract period is one (1) month. The license can only be applied to an inactive user and it is not possible to switch to a different license type during an ongoing contract period.

Activate a Time-Limited User License

Here is how to activate a time-limited user license:

1. Select Time-Limited Mobile License under License Type
2. Enter the desired date range for the license (full months)
3. The license is activated automatically according to the specified dates

Important Things to Keep in Mind

1. A time-limited license can only be applied to an inactive user
2. It is not possible to change the license type during an ongoing contract period
3. The minimum billing period is 1 month
